(collectively and individually “anecdotes”, “Company”, “we,” “us,” or “our”) collect from and relating to you when you use our Website,  the anecdotes Compliance OS platform (the "Platform") or our services. We take our obligations regarding your privacy and personal data seriously and have prepared this Policy in a manner that is clear and easy for you to understand. 

This Policy forms an integral part of our Terms of Use of our website available at www.anecdotes.ai/ ("Website") and the terms of use of our Platform (collectively at this Policy, the “Terms”).

Unless specifically stated otherwise in this Policy, all capitalized terms shall have the meaning ascribed to them in the Terms.

This Policy applies to all of our services, features and functionality offered to you, as well with respect to our Platform and Websites including any electronic communications exchanged between you and the Website or Platform otherwise provided by you to us.

We will not collect or use personal data for purposes other than those described in this Policy, our Terms, and/or in any other legal instrument in effect between us. You can decline to submit personal data, in which case we may not be able to provide you with part or all of the services.

The information provided to us includes customer data only, meaning your name, role, address and e-mail address, phone number, company name, industry.

Aggregated or Statistical information

We may monitor you use of the Platform and collect and compile data and information related to your use of the Platform in an aggregated and anonymized manner, including to compile statistical and performance information related to the provision and operation of the Platform.

Such information may be technical information, including the Internet protocol (IP) address, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system; information about your uses, length of visits to certain pages, clicks.

  • when you register, log-in and/or use our Website, and by corresponding with us by phone or e-mail.

  • and as a candidate applying via the site, by uploading your CV.

3. WHY DO WE COLLECT PERSONAL DATA?

Under the data protection laws applicable, we must have a legal basis to process your personal data. By using the Website or the Platform, your consent to collect and process your personal data is provided.

4. HOW WE SHARE PERSONAL DATA

We may transfer personal data within member of our group, and to third party service providers in the circumstances and for purposes as follows:

Affiliates and Subsidiaries.

This includes any member of our group, which means the anecdotes company and subsidiaries – whether wholly or partially owned by anecdotes, including other services we offer to our clients, including third parties. When we share data with our affiliates and subsidiaries, we will not use identified personal data, unless essentially required. 

Third Party Service Providers.

We transfer personal data to third parties in a variety of circumstances for the provisions of our Services to you. We endeavor to ensure that these third parties use your information only to the extent necessary to perform their functions, and to have a contract in place with them to govern their processing on our behalf. These third parties assist us in providing the services we offer, processing transactions, fulfilling requests for information, receiving and sending communications, analyzing data, providing support services or in other tasks, from time to time. These third parties also include analytics and search engine providers that assist us in the improvement and optimization of our Website and Platform, and our marketing. Our main present third-party providers to whom we may transfer personal data include crucial functions such as: customer support platforms, hosting service providers, payment processors, analytics partners, third party account providers, security and/or social media services. Change of Control.

In addition, we will disclose your personal data to third parties if some or all of our companies or assets are acquired by a third party including by way of a merger, share acquisition, asset purchase or any similar transaction, in which case personal data may be one of the transferred assets. Likewise.

Legal obligation.

We will transfer personal data to third parties if we are under a legal duty to disclose or share your personal data in order to comply with any legal or audit or compliance obligation, in the course of any legal or regulatory proceeding or investigation, or in order to enforce or apply our terms and other agreements with you or with a third party; or to assert or protect the rights, property, or safety of us, our Users, or others.

5. DATA RETENTION

​We retain personal data for as long as required to provide the services, process your inquiries, respond to your requests and improve our Websites and/or Platform, to comply with our legal and other obligations, to resolve disputes and to enforce agreements or for other reasons. We will also retain personal data to meet any audit, compliance and business best-practices.

Data with respect to which we act as a Processor may be deleted only on action and/or instruction of the Controller, except where such data must be retained by us, in our judgment, as above. 

Data that is no longer retained may be anonymized or deleted. Likewise, some metadata and statistical information concerning the use of our services, Website or Platform are not subject to the deletion procedures in this policy and may be retained by us. We will not be able to identify you from this data. Some data may also be retained on our third-party service providers’ servers until deleted in accordance with their privacy policy and their retention policy.

Unless instructed otherwise by a user, by default we do not retain identified usage data, and we periodically review, delete or de-identify inactive data and related personal data that have been inactive for a period of time.

6. TRANSFER OF DATA 

We keep Personal Data in servers which are controlled by us through cloud-service providers in the US. 

We may store and process information in various locations throughout the globe, including through cloud service for storge or backup purposes; to enable us to provide you with the services and fulfil our contract with you; fulfil any legal, audit, ethical or compliance obligations which require us to make that transfer; facilitate the operation of our group businesses, where it is in our legitimate interests and we have concluded these are not overridden by your rights; to serve our users across multiple jurisdictions. 

The laws in those other countries may provide a lesser degree of data protection than the laws of your own country. You agree to the transfer of your information to such other countries for the purpose of the processing as described in this Policy, including through cloud services.

7. INFORMATION SECURITY

​We take great care in implementing, enforcing and maintaining the security of personal data. we implement, enforce and maintain security measures, technologies and policies to prevent the unauthorized or accidental access to or destruction, loss, modification, use or disclosure of personal data. We likewise take steps to monitor compliance of such policies on an ongoing basis. Where we deem it necessary in light of the nature of the data in question and the risks to data subjects, we may encrypt data. Likewise, we take industry standard steps to ensure our Website, Platform and services are safe.

Note however, that no data security measures are perfect or impenetrable, and we cannot guarantee that unauthorized access, leaks, viruses and other data security breaches will never occur.

  • Deleting or restricting access to your personal data. You may request to delete or restrict access to your personal data. We may postpone or deny your request if your personal data is in current use for providing services or for other legitimate purposes, in which case we will let you know if we are unable to do so and why. ‍

It is our policy to publish any changes amendments to our Policy at our Website or Platform. Changes to this Policy shall become binding and effective when they are published.
